What is Microsoft Forms?

Microsoft Forms builds surveys, quizzes and polls that people can answer from almost any web browser or mobile device, with branching questions, editable themes and real-time charts. Results export to Excel, and forms and polls can be used inside Teams, Outlook, PowerPoint and OneNote. Anyone with a free Microsoft account can use it, with a cap of 200 responses per form; a paid Microsoft 365 personal subscription raises that to 1,000, and work or school accounts can collect up to 5,000,000 responses per form. Copilot can draft a form from a prompt and summarize results, but needs a Copilot license.

Good for

  • Quick polls and surveys inside Teams and Outlook
  • Classroom quizzes for schools on Office 365 Education
  • Internal staff surveys in organizations already on Microsoft 365

Key features

  • Surveys, quizzes and polls with branching questions, answered from almost any web browser or mobile device
  • Real-time charts, automatically generated reports and export to Excel for analysis or grading
  • Copilot drafts a form from a prompt, suggests refinements, drafts invitations and summarizes results with actionable insights (Copilot license)
  • Share by short URL, QR code, Outlook, Teams or an embedded link
  • Forms and polls inside Teams, Outlook, PowerPoint, OneNote, Sway and SharePoint
  • Quizzes with videos in questions and an option to block internet access during a quiz
  • Editable themes, sections and multilingual support
  • Share a form as a template or collaborate on it with colleagues

Limitations to know about

  • A free personal Microsoft account caps each form at 200 responses (1,000 on a paid personal subscription)
  • Copilot in Forms needs a Microsoft 365 account and a Copilot license; the Copilot chat pane is limited to commercial Copilot-licensed users
  • Its pages do not describe collecting payments in a form
  • Up to 400 forms per person and 200 questions per form
